CCAP Nkhoma Synod invites applications from suitably qualified individuals to fill the position of Administrative Assistant at the earliest time possible.
The position is based at Nkhoma Offices.
ADMINISTRATIVE ASSISTANT
Reports to : The General Secretary
Duties:
- Handling administrative requests and queries from senior managers
- Organizing and scheduling appointments with admin software
- Planning meetings and taking detailed minutes
- Typing memos, reports, circulars and letters and taking and compiling minutes
- Preparing and processing internal and external travel arrangements for General Secretary
- Preparing and making arrangements for meetings
- Photocopying and filing documents
- Updating the General Secretary diary on daily basis
- Recording circulation of files
- Keeping and replenishing office requirements for the General Secretary
- Attending to both incoming and outgoing telephone calls
- Attending to visitors and booking appointments.

- Receiving all deliveries and checking the goods received
- Liaising with suppliers about deliveries and discrepancies in stock
- Managing office suppliers and re-order when required
- Keeping detailed records of shortages and spares of items
- Updating inventory management systems regularly
- Picking and delivering goods
- Organizing and delivering goods from the store to the department that requires it
- Inspecting all receipts
- And any other duties as assigned from time to time.
Qualifications and work experience
- A minimum of a Diploma in Administrative Studies or Business Administration is required.
- Candidates with a Diploma in Theology or a related field will have an added advantage.
- At least three years of prior experience as an administrative assistant or in a similar role is preferred.
- Proficiency in computer systems and software, including Microsoft Office, Microsoft Excel, and email, is essential.
- Excellent organizational and time management skills.
- Ability to multitask and manage a high-volume workload effectively.
- Applicants must be between 35-45 years.

- Dedicated Christian of sound standing in their local church
- Excellent verbal and written communication skills in both English and Chichewa.
- Proven record of integrity and accountability.
- Demonstrated ability to analyze problems, make appropriate recommendations, effective decisions including in emergency settings
- Self-starter and team player.
