Job Title: Executive Assistant
Reports to: HRAS Manager/Directors
Location: Area 43 Office, Lilongwe
Job Type: Full-time
Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our Senior Executive team.
Key Responsibilities:
- Manage the executive’s calendar, including scheduling meetings & appointments
- Manage Executive front desk
- Welcome Guests, visitors & Clients in a Professional & friendly manner
- Coordinate travel arrangements, including flights, hotels, and transportation
- Handle incoming & outgoing mail
- Prepare correspondence, reports, & presentations as needed
- Develop and maintain spreadsheets, databases, and other administrative systems
- Provide support for meetings and events, including preparing materials and taking notes
- Manage visitors log
- Build and maintain relationships with internal stakeholders and external partners
- Perform other administrative tasks as required.
Requirements:
- 5+ years of experience as an Executive Assistant /Executive Receptionist or in a similar role
- Certificate, Diploma in either front desk, hospitality or house keeping. Those with bachelor’s degrees will have added advantage.
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Ability to Multitask & priotise tasks effectively
- Proficiency in Microsoft Office and other productivity software
- Knowledge of house keeping & hospitality
- Strong attention to detail and problem-solving skills.
