Overview

MAIN PURPOSE
To manage the functionality, comfort, safety and efficiency of buildings, grounds and infrastructure in line with the NICO Group and Eris/Icon Properties Strategy and Standard Operating Procedures.

PLANNING THE FACILITIES MANAGEMENT

Interfaces with the Head of Property Management and plans the facilities operations under the management of the Blantyre and Lilongwe offices by:

  • Reviewing the general economic and market dynamics to formulate appropriate plans on how to tackle threats and opportunities.
  • Reviewing the changes in the relevant legal framework governing/regulating building, safety and similar operations and ensures the Facilities Team adheres to these.
  • Identifying and projecting the pro-active and re-active maintenance requirements for building operations. Develop and implement Asset Management Plan
  • Identifying and planning for the dilapidation inspections of all buildings under management.
  • Preparing resource requirements for the daily management of the facilities under management and submitting to the Head of Property
  • Management for inclusion into the Annual Operating Plan.
  • Discussing and agreeing the Annual Operating Plan from the Head of Property Management and devolving the plan into quarterly and monthly phases.

BUDGET MANAGEMENT AND CONTROL FOR FACILITIES

  • Co-ordinates the annual budgeting process, expenditure and forecasts with the Property Management Team and relevant Finance Managers.
  • Updates and monitors expense and departmental budgets versus performance.

FACILITIES MANAGEMENT

  • Interfaces with the Property Manager and develops an action plan to address the pro-active and re-active maintenance, building refurbishments projects and dilapidation of buildings for final approval of the Head of Property Management.
  • Coordinates and ensures that due diligence for all proposed contractors and service providers is carried out.
  • Contracts for service providers on an annual basis and arranges for sign off by the relevant Eris Manager.
  • Property Maintenance and Services Management
  • Carries out, through the Services Officer, pro-active and re-active quality control maintenance on all buildings as per action plan.
  • Identifies and coordinates with Tenants, the fittings and/or maintenance required for the buildings and ensures that these are addressed through the quality control maintenance
  • Arranges audit ‘soft services’ by external service providers and supervises the quality of the service delivery.
  • Represent the Client on all monthly Project meetings relating to refurbishment of the buildings and ensures that health and safety compliance standards are adhered by the contractors
  • Reports all liability and property incidents to Head of Property Management
  • Reviews the monthly entry and exit inspection reports from the Services Officers and takes appropriate action.
  • Prepares monthly and quarterly reports and submits to the Head of Property Management for approval and onward transmission to the clients

QUALIFICATIONS

  • First-Degree in-Built Environment Studies or equivalent
