Overview

Jhpiego is hiring a Human Resources (HR) intern to be part of the HR team.  He/she will assist Jhpiego Malawi’s Human Resource Team with various HR tasks and projects.  This internship offers an excellent opportunity to gain firsthand experience and exposure to different areas of human resources and learn from experienced professionals.  This role will provide an intern with valuable experience and skills that are beneficial for a future career in human resources.

This is a Lilongwe-based position.

Responsibilities

1. Recruitment and selection

  • Assist with job posting and candidate screening
  • Provide support to the recruitment team
  • Screening potential employee’s resumes to identify suitable candidates
  • Schedule interviews  with shortlisted candidates and coordinate with the recruitment  team
  • Updating and maintaining physical interview files.
  • Prepare materials for new staff orientation and assist in conducting orientation

2. Record-keeping/HR Administration

  • Maintain accurate and up-to-date employee records, including inputting new employee personal information and employment details  in JEMS
  • Create new personnel files and digital file documents for new employees and ensure that personnel files are up-to-date.
  • Safekeeping of employee personal files and other HR records
  • Process requests of letters for staff, including confirmation of employment; Loan applications, etc.

3. Staff Medical Insurance

  • Assist with staff medical insurance-related tasks, including invoice reconciliation and benefit administration
  • Liaise with medical insurance provider to register new staff and remove staff leavers
  • Maintain quality customer services by responding to staff medical insurance inquiries efficiently, sensitively and politely

Required Qualifications

  • A Bachelor’s Degree in Human Resource or Business Administration.
  • Candidates must have less than 12 months’ work experience.
  • Intermediate proficiency in MS Word and MS Excel is required. PowerPoint skills would be an advantage.
  • Excellent administrative and organizational skills.
  • Effective communication skills.
  • Attention to detail, a willingness to learn, and maintain confidentiality.
  • Ability to work as part of the HR Team.
  • Be of high integrity and have a sense of confidentiality
  • Be willing to take on extra responsibilities in order to achieve the goals/objectives set by the organization
