The newly established International Blantyre Cancer Centre – Diagnostic Unit, a subsidiary of the International Blantyre Cancer Centre, provides advanced laboratory and imaging services. MEDICAL SECRETARY

Job Purpose

The Medical Secretary will be responsible for welcoming patients, managing all front desk operations, scheduling appointments, handling medical records, and ensuring smooth communication between patients, clinicians, and administrative teams. The role requires a professional, empathetic, and efficient individual who can uphold the centre’s reputation for excellent, innovative and premium healthcare services.

Key Responsibilities

  • Greet and register patients promptly and courteously upon arrival for laboratory or imaging services.
  • Guide patients through the registration process, providing information on tests, billing procedures, and waiting times.
  • Coordinate patient flow between reception, laboratory, imaging units, and clinicians to minimize waiting times.
  • Maintain and manage the appointments system, ensuring efficiency and minimal overlaps.
  • Remind patients about appointments via calls or messages and handle rescheduling requests as needed.
  • Accurately maintain patient records, ensuring confidentiality and adherence to data protection policies.
  • Collaborate with laboratory and imaging departments to ensure timely transfer of test results to clinicians or patients as required.
  • Work closely with the accounts office to ensure accurate billing for diagnostic services.
  • Assist patients with payment processes, providing receipts and clarifications on charges.
  • Serve as the primary communication link between patients, diagnostic staff, and administrative teams.
  • Respond promptly to inquiries via phone, email, or in-person visits.
  • Ensure a welcoming and compassionate environment for patients, especially those undergoing complex diagnostic procedures.
  • Address patient concerns professionally and escalate unresolved issues to the appropriate department.

Qualifications & Work Experience

  • Diploma in Health Administration, Business Administration, or related field.
  • Minimum of 3 years’ experience in a healthcare setting or corporate entity, preferably in a healthcare facility.
  • Proficiency in Microsoft Word and Excel; knowledge of electronic health records (EHR) systems an added advantage.
