Deputy General Manager (Sales & Administration)

Location: Blantyre
Reports To: General Manager (GM)
Supervises: Sales, Administration, and Customer Service Teams

Purpose of the Role

The Deputy General Manager (Sales & Administration) supports the General Manager in managing overall business performance with a focus on sales growth, administrative efficiency, and stock management. The role ensures smooth coordination between departments — finance, HR, procurement, and customer service — while maintaining compliance, accurate reporting, and effective communication structures.

The Deputy GM acts as second-in-command, ensuring business continuity and managerial oversight in the GM’s absence.

Key Responsibilities

1. Sales and Customer Relationship Management

  • Lead the implementation of sales and customer engagement strategies.

  • Supervise sales staff, track targets, and ensure accurate sales reporting.

  • Manage key accounts and maintain consistent client communication.

  • Support marketing and promotional initiatives to expand market reach.

2. Administrative Leadership, Stock, and Coordination

  • Oversee office administration and ensure smooth coordination between finance, HR, and logistics.

  • Manage finished goods and packaging stock (excluding milk purchases), including daily updates, reconciliations, and coordination with production and sales teams.

  • Maintain administrative systems (filing, correspondence, reporting dashboards, and meeting documentation).

  • Support contract management, compliance documentation, and audit readiness.

  • Supervise administrative and store staff to ensure efficiency and accountability in all operations.

3. Financial Oversight and Reporting

  • Collaborate with the Finance Department to monitor expenditure and sales revenue.

  • Support budget preparation, cost allocation, and financial reporting.

  • Analyse financial data to identify efficiency improvements or cost-saving measures.

  • Ensure accountability and transparency in all administrative and stock-related financial processes.

4. Human Resources and Staff Development

  • Coordinate performance reviews, leave management, and training schedules.

  • Support recruitment, onboarding, and professional development of staff.

  • Promote a workplace culture emphasizing responsibility, collaboration, and results.

5. Governance, Compliance, and Policy Support

  • Ensure adherence to company policies and statutory obligations.

  • Maintain proper documentation for internal audits and project reporting.

  • Support the GM in policy drafting, review, and implementation.

  • Represent the organization in meetings with regulatory bodies or administrative partners.

6. Acting Capacity

  • Serve as Acting General Manager during the GM’s absence.

  • Represent the company at stakeholder meetings, events, and administrative forums.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.

  • Minimum 3 years of experience in administration, stock control, or sales support, preferably in production or FMCG sectors.

  • Proven experience in stock management systems and coordination between production and sales teams.

  • Excellent analytical, communication, and leadership skills.

  • Valid motorbike license (essential for field mobility and site coordination).
