Pentecostal Life University (PLU) a faith based institution recognized, registered by Malawi Accountants Board, Media Council of Malawi and the National Council for Higher Education (NCHE) invites applications from suitably qualified and experienced candidates to fill the following positions:

SENIOR ADMINISTRATIVE ASSISTANT

Duties and Responsibilities:

Key Responsibilities

  • Manage the daily operations of the assigned office
  • Organize and maintain office records, correspondence, and confidential files, ensuring smooth information flow within the office and across departments.
  • Maintain and update the diary or schedule of the supervisor, arrange appointments, meetings, and prepare agendas, take minutes, and distribute them in a timely manner.
  • Draft, review, and type letters, memos, reports, and other official communication.
  • Receive, screen, and respond to phone calls, emails, and inquiries.
  • Liaise with students, staff, management, and external stakeholders on behalf of the supervisor.
  • Maintain a high degree of confidentiality in handling sensitive documents and communications.
  • Exercise discretion, courtesy, and tact in all dealings with stakeholders.
  • Maintain filing systems (both electronic and physical) to ensure easy retrieval.
  • Document University decisions, reports, and correspondence, and assist in preparing statistical data and compiling reports for management.
  • Act as a liaison between the office and student bodies, staff, or external partners when required.
  • Collaborate with the Admissions Officer in handling student-related matters.

Qualifications, Experience, Attributes, and Competencies

  • Bachelor’s degree in Business Administration, Administrative Studies, or a relevant field
  • Proven experience as an Executive Assistant or similar role of not less than three years.

  • Utmost tact, discretion, courtesy, and trustworthiness as essential personal attributes;
  • Excellent communication and interpersonal skills;
  • Strong organizational and time management skills;
  • Ability to draft communication with minimal supervision.
