Background
St. Anne’s Community Hospital is a non-profit making institution under the Diocese of Karonga. It is located at Chilumba in Karonga District, Northern Malawi. The Hospital is a member of the Christian Health Association of Malawi (CHAM). It offers inpatient and outpatient services.
St Anne’s Community Hospital would like to recruit suitably qualified candidates to fill the following vacant position with immediate effect on permanent basis (within Government salary scale)
Job Title: Senior Hospital Administrator
Grade: H
Responsible to: Hospital-In-Charge
JOB PURPOSE
- The Senior Hospital Administrator is responsible for all administrative and financial matters of the health facility and supervises staff in the Finance and Administration Department. The role requires strong knowledge of health sector policies and regulations in Malawi, as well as proven leadership and management skills.
KEY DUTIES AND RESPONSIBILITIES
- Support the Hospital-In-Charge in implementing policies and decisions of the facility’s proprietors.
- Coordinate departmental activities by scheduling work assignments, setting priorities, and directing administrative staff.
- Maintain accurate records and prepare periodic reports for submission to the Hospital-In-Charge.
- Oversee staff recruitment, selection, assignment, and promotion in compliance with equal employment opportunity principles.
- Evaluate and verify staff performance through regular reviews of work outputs and techniques.
- Collaborate with departmental heads to identify staff training and development needs and ensure appropriate training is secured.
- Advise other departments on the facility’s financial performance and capacity to support informed planning and decision-making.
- Provide efficient and effective administrative services in line with hospital policies and regulations.
- Coordinate with management on strengthening and maintaining an effective health information system.
- Undertake routine office organizational responsibilities to ensure smooth operations.
- Represent administration on management committees and attend or chair meetings as required.
- Monitor hospital transport operations and control running costs, including fuel and maintenance.
- Supervise the procurement of hospital equipment and supplies, ensuring proper use and safe custody.
- Oversee support services provision and ensure availability of essential resources.
- Coordinate the development, management and advancement of hospital human resources.
- Lead and coordinate resource mobilization initiatives, including fundraising, partnership building and proposal development, to ensure sustainable financing and smooth operations of the hospital.”
PERSONAL SPECIFICATIONS
Minimum Educational Qualification and Experience
- Bachelor’s degree in Public Administration, Human Resource Management, Political Science, or Business Administration.
- Registration with a relevant professional bodies
- At least 5 years of progressive work experience in administration and finance management, preferably within a hospital or health-related institution.
- Demonstrated experience in:
- Supervising and managing multidisciplinary teams.
- Preparing and managing budgets, financial reports and institutional audits.
- Coordinating procurement, transport, and logistics in a health facility.
- Implementing health sector policies, regulations and compliance frameworks in Malawi.
- Supporting strategic planning and organizational development initiatives.
Competencies and Attributes
- Strong leadership, supervisory and team management skills.
- Sound knowledge of Malawi’s health sector policies, financial regulations, and administrative procedures.
- Excellent organizational and planning abilities.
- Strong communication, report writing and interpersonal skills.
- High level of integrity, accountability, and commitment to professional ethics.
- Ability to work under pressure and handle multiple priorities.
